Privacy Policy

How we collect, use, and protect your information.

DisputeMyHOA ("the Service") is operated by Astro Digital Labs ("we", "us", "our"). This Privacy Policy explains what information we collect about you, how we use it, who we share it with, and what rights you have.

By using the Service, you agree to the practices described in this policy.

1. Information We Collect

Account information. When you create an account or submit a notice for review, we collect your email address. If you complete a purchase, you also provide payment information through Stripe (we never see or store full card numbers).

Content you upload. When you upload an HOA notice or letter, we collect and process the text and metadata of that document so we can analyze it and generate a draft response. This may include the violation type, fine amount, your name and address as printed on the notice, and the name of your HOA.

Usage information. We collect information about how you interact with the Service, including pages visited, features used, time spent, and approximate location (city/state from IP address). We use this for product analytics and improvement.

Device & technical information. Browser type, operating system, device type, and IP address.

Cookies. We use cookies and similar technologies to keep you signed in, remember preferences, measure traffic, and run advertising. You can control cookies through your browser settings; some features may not work without them.

2. How We Use Your Information

  • Provide the Service: Process your HOA notice through the Dispute Engine and generate draft responses, checklists, and educational information for you.
  • Process payments: Bill you for paid features through our payment processor.
  • Communicate with you: Send transactional emails (receipts, account notices), product updates, and educational content. You can opt out of marketing emails at any time.
  • Improve the Service: Analyze usage to improve features, fix bugs, and develop new functionality.
  • Marketing & advertising: Show relevant ads on platforms like Google. Measure ad performance.
  • Security & legal compliance: Detect and prevent fraud, abuse, and security incidents. Comply with legal obligations.

3. Service Providers We Share Data With

We share information with trusted third-party service providers who help us operate the Service. These providers are contractually limited to using your data only for the purposes we've authorized. Our key providers include:

  • Anthropic / OpenAI: language model processing that powers the Dispute Engine's analysis of your HOA notice text
  • Stripe: payment processing and fraud prevention
  • Supabase: database hosting
  • Heroku: application hosting
  • Netlify: website hosting and content delivery
  • Klaviyo: email delivery and email marketing
  • PostHog: product analytics
  • Google Analytics & Google Ads: website analytics and advertising measurement
  • Microsoft Clarity: session replay for product improvement

We do not sell your personal information to third parties.

4. Legal Disclosures

We may disclose information if required by law, subpoena, or other legal process; to enforce our Terms of Service; to protect the rights, property, or safety of DisputeMyHOA, our users, or others; or in connection with a merger, acquisition, or sale of assets.

5. Data Retention

We retain your information for as long as your account is active or as needed to provide the Service. We may retain certain information after account deletion for legitimate business purposes such as fraud prevention, legal compliance, and tax records. You can request deletion of your data at any time by contacting us.

6. Your Rights

Depending on your location, you may have the following rights regarding your personal information:

  • Access: request a copy of the information we have about you
  • Correction: request that we fix inaccurate information
  • Deletion: request that we delete your information
  • Portability: request your data in a portable format
  • Opt-out of marketing emails (use the unsubscribe link in any marketing email)
  • Opt-out of the sale of personal information (we do not sell data, but you may still submit this request)

7. California Residents (CCPA/CPRA)

California residents have specific rights under the California Consumer Privacy Act, including the right to know what personal information is collected, used, shared, or sold; the right to delete personal information; the right to correct inaccurate information; and the right to non-discrimination for exercising these rights. We do not sell personal information as defined under the CCPA.

8. Children's Privacy

The Service is intended for users 18 years of age or older. We do not knowingly collect personal information from children under 13. If we learn we have collected information from a child under 13, we will delete it.

9. Security

We implement reasonable technical and organizational measures to protect your information. However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

10. International Users

DisputeMyHOA is operated in the United States and is intended for U.S. residents. If you access the Service from outside the U.S., your information will be transferred to and processed in the U.S., which may have different data protection laws than your country.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we'll update the "Last updated" date below. Material changes will be communicated through additional notice such as an email or in-app notification.
